Compliance and Archives
Your point-of-sale software is designed to ensure the integrity, security, traceability and retention of the data recorded in your POS system.
Validated sales, payments and closing operations are protected against any subsequent modification and are retained in the software for the period required by applicable regulations.
#Fiscal data is retained
Once a sale or closing operation has been validated, the corresponding data can no longer be modified.
The software retains this data and protects it, in particular, by means of an electronic signature that makes it possible to verify its integrity.
Sales, payment and closing data therefore remain accessible in your account for the applicable statutory retention period.
#A dedicated fiscal data interface
A fiscal data control interface is available from your account:
[Your account name].hiboutik.com/fiscal
This interface allows you to view the fiscal data recorded in your POS system and export it in an open and usable format (JSON), together with its electronic signature.
Access to this interface is restricted to users with the necessary permissions to view accounting data.
#Transaction traceability
Operations performed in the software in connection with sales and supporting documents are recorded.
This makes it possible, in particular, to trace additions, modifications or cancellations, as well as document printouts.
This traceability information can be accessed via the 'Logs' button in sales and daily summaries, as well as from the fiscal data control interface.
#Fiscal archives
You can generate a fiscal archive for each closed period.
Archives are generated from the 'Archives' section of the fiscal data control interface.
An archive can only be generated for a fully closed period.
We recommend generating your archives regularly, for example at each monthly closing, so that you have an easily accessible history.
Generated archives also remain stored in the software.
#Data retention
Retaining data in the software does not exempt the company from complying with its own legal obligations regarding the retention of accounting and fiscal records.
The fact that archives are retained in the software can satisfy the applicable data retention and archiving requirements when the relevant regulatory conditions are met.
We nevertheless recommend that you regularly download a copy of your fiscal archives and store it on a secure external medium. This precaution ensures that you have your own copies, particularly if you change software or stop using your POS solution.
If a purge procedure results in the deletion of data from the software, a complete archive must be retained on a secure external medium or in a remote storage solution, in accordance with applicable regulatory requirements.
#When you stop using the software
Before you stop using your account, we recommend that you retrieve your fiscal archives and retain them with your accounting records.
These archives may be required, in particular, in the event of a tax audit covering a period during which you used the software.
If your account is placed in inactive status, access to the data may require reactivation of the account. Technical fees may apply in accordance with the software's contractual terms.
